Where to find the birth certificate number or BReN

Many forms, school records, and enrolment portals ask for a "birth certificate number". On a PSA certificate this is the Birth Reference Number, or BReN. It is different from the order reference number you use to track an online request.

  • Birth Reference Number (BReN).Printed on the middle bottom part of the Certificate of Live Birth. It replaced the old Population Reference Number (PRN). This is the number most enrolment and employment forms mean by "birth certificate number".
  • PSAHelpline order reference (10 digits).Issued after you place an online request. It tracks your order and payment, and it is not printed on the certificate itself.
  • PSA Serbilis reference (16 digits).Issued for a request made through PSA Serbilis. Use it on that site's Check Status page.
  • Registry number. The local civil registrar's control number. It is helpful but not required to request a copy, because the PSA searches by name, date of birth, place of birth, sex, and parents' names.
When it gets complicated

No registry number, no record, or an error

A missing registry number does not by itself block a request. A "no record found" result, however, usually points to a real civil registry issue that has a specific remedy.

Getting a copy without a registry number

The registry number is convenient but not legally required. The PSA identifies a record by the child's complete name, date of birth, place of birth, sex, the father's full name, and the mother's maiden name.

  • Request using the name as it first appears on the birth record, not a later nickname or married surname.
  • Match the place of birth to where the birth was registered, not your current address.
  • If the search fails, ask the Local Civil Registry Office (LCRO) of the birth place to confirm the record and its registry number.

What a Negative Results Certification means

If the PSA issues a Negative Results Certification instead of a copy, it could not find the record. This does not always mean the birth was never registered.

  • Registered locally only. Ask the LCRO for an endorsement letter and the transmittal details so the record reaches the PSA.
  • Never registered. File a delayed registration of birth at the LCRO of the birth place, with supporting documents.
  • Lost or destroyed at the LCRO. Request a reconstruction of the birth record.
  • Name or date mismatch. Verify the exact spelling and entries at the LCRO before filing any correction.

Correcting an error on the certificate

The remedy depends on the kind of error.

  • Administrative correction. Clerical or typographical errors, and a first name change, are filed with the LCRO under Republic Act No. 9048 and, for day or month of birth and sex, Republic Act No. 10172.
  • Judicial correction. Changes to nationality, legitimacy, filiation, and other substantial entries need a court proceeding.
  • After a correction, request a fresh PSA copy so the annotation appears on the updated certificate.

QR code and e-Verification

New PSA certificates carry a unique QR code printed on the document. Anyone can confirm it is genuine.

  • Install the official PSA e-Verification app on Android or iOS.
  • Scan the QR code on the certificate with your phone camera.
  • The app shows the details as recorded by the PSA, which confirms authenticity.
  • An older certificate without a QR code is not automatically fake, but agencies may prefer the latest security paper.

Questions

PSA birth certificate questions from Tagum City

The questions readers ask most about fees, delivery, IDs, the BReN, and what to do when a record cannot be found.

How much does a PSA birth certificate cost?
An online request through PSAHelpline.ph costs ₱365.00 including processing and nationwide delivery. Copy issuance at a PSA CRS outlet is ₱155.00 per copy. A viewable online copy through PSA Serbilis is ₱130.00 for 60 days of access. Fees may change, so confirm the amount on the payment page.
How long does delivery take to Tagum City?
Provincial orders, including Davao del Norte and Tagum City, are delivered within 3 to 8 working days after the PSA releases the document. Metro Manila orders are usually delivered the next working day after release.
Where do I find the birth certificate number or BReN?
The Birth Reference Number, or BReN, is printed on the middle bottom part of the Certificate of Live Birth. It is different from the 10 digit order reference number issued by PSAHelpline and the 16 digit reference number issued by PSA Serbilis, which are used only to track a request.
Can I get a PSA birth certificate without a registry number?
Yes. The registry number is helpful but not required. The PSA searches by the person's complete name, date of birth, place of birth, sex, the father's full name, and the mother's maiden name. Use the name as it first appears on the birth record.
Do I need an appointment to get a copy at the PSA office in Tagum?
Yes. Walk in copy issuance is by appointment only through the PSA online appointment system. The appointment is free and non transferable. Bring the appointment slip and a valid ID.
Which valid IDs are accepted for a PSA birth certificate request?
Accepted IDs include the PhilID or ePhilID, Philippine Passport, Driver's License, PRC ID, IBP ID, SSS or GSIS UMID, Pag-IBIG Loyalty Card, Voter's ID or Certification, Postal ID, Senior Citizen ID, OFW or OWWA ID, Seaman's Book, NBI or PNP Clearance, DSWD or 4Ps ID, Barangay ID or Certification, PWD ID, TIN ID with photo, School ID, and Company ID. The ID must match the name and birth date on the birth record.
What if the PSA says no record was found?
A Negative Results Certification does not always mean the birth was never registered. The record may exist only at the Local Civil Registry Office and not yet be transmitted to the PSA, in which case you request an endorsement. If it was never registered, you file a delayed registration of birth. If it was lost or destroyed at the LCRO, you request a reconstruction.
Can I request a birth certificate for someone else?
Birth records are confidential. Generally only the person named, their spouse, a parent, a direct descendant, a minor's guardian, or an authorised representative may request a copy. A representative needs an authorisation letter or special power of attorney plus valid IDs.
